Aptean Quality Enhancements

The Aptean Quality Enhancements app extends Aptean's Quality Control, Non-Conformance, and Product Specification modules for food and beverage manufacturers. It brings everything a quality team needs into a single role center, automates the paperwork around Certificates of Analysis, makes non-conformances faster to raise and easier to trace, and lets you standardise how product specifications are printed — so your team spends less time on admin and more time on quality.

Key Features

Extended Quality Role Center

A single home page that brings Product Specification, Compliance Documents, Quality Control, Non-Conformance, Inspection Status, and Expiration Management together in one place, so users no longer need to jump between separate role centers to get a full picture of quality across the business.

  • Unified cues and activities — see open quality control checks, non-conformances, inspection status, and expiration management activity at a glance.
  • All Non-Conformances at your fingertips — jump straight to every non-conformance, or a specific type, from the role center menu.
  • One-click access to setup and documents — compliance documents, product specification setup, and non-conformance setup are all reachable from the same menu, without hunting through separate role centers.

Non-Conformance Management

  • All Non-Conformances overview — a single list of every non-conformance raised, with dedicated views for Customer, Vendor, and Internal types (and open/closed variants of each), and the ability to open the underlying card, change status, or manage follow-up actions directly from the list.
  • Category filtering — non-conformance categories are filtered based on source type (Customer, Vendor, or Internal), so users only ever see relevant options.
  • Default severity — subcategories can be configured with a default severity level, so severity is set automatically instead of relying on the user to remember it.
  • Related NC tracking — link related non-conformances together, and see the full chain of related records directly on the non-conformance card, so recurring or connected issues are never treated in isolation.
  • Richer, more useful records — a title, rich-text comments, and rich-text final remarks (with configurable default wording per source type) make every non-conformance clearer to read and faster to complete. A summary of the affected items, lots, and expiration dates is captured automatically, along with the relevant location.
  • Documented follow-up actions — root cause, corrective, preventive, and other follow-up actions can each capture a detailed, rich-text account of what was found and what was done to resolve it.
  • Printable non-conformance report — produce a customer-, vendor-, or internal-ready document straight from the non-conformance, including product details, follow-up actions, and any photos attached to the record. On vendor non-conformances the product lines also show the vendor's own Reference No. for each item, taken from the vendor item reference, the Item Vendor catalog, or the item card.

Quality Control Check Source Names

  • Source documents at a glance — quality control checks raised against receipts and shipments show the originating source document numbers directly in the Source Name, in the format Default Source Name [PO-10045, PO-10051], so users can see which purchase, sales, or transfer orders a check relates to without opening the warehouse document.
  • Kept up to date automatically — the Source Name is set when the check is created and refreshed as warehouse receipt and shipment lines are added, so consolidated documents covering several orders always list every source document exactly once.
  • Sensible default — where no source documents are found, the Source Name falls back to the description of the Quality Control Plan assigned to the check, so the field is never left blank unnecessarily.
  • Extensible — an integration event lets partners override or replace the standard Source Name logic for customer-specific requirements. Existing quality control checks are updated once on install or upgrade.

Certificate of Analysis Automation

  • Automatic e-mailing after shipment — a background job scans recently posted sales shipments and e-mails the Certificate(s) of Analysis to the customer automatically, with a configurable look-back window (default 7 days) and safeguards against sending duplicates.
  • Flexible eligibility rules — the Item Attribute COA Setup page controls exactly which items need a COA sent, and to whom, using item attributes rather than hard-coded item lists — scoped to all customers, a specific customer, a customer posting group, or a customer price group.
  • On-demand printing and e-mailing — print or e-mail a Certificate of Analysis whenever it's needed, directly from a Posted Sales Shipment, a Warehouse Shipment, a Posted Quality Control Check, or a Lot No. Information record — no need to wait for the automated job or dig through history.
  • Certificate of Analysis - Lot report — a dedicated per-lot certificate covering item, customer, sales order, shipment date, best-before date, and shelf life, whether printed from a shipment or looked up directly by item and lot.
  • Per-customer document layouts — configure Certificate of Analysis and Certificate of Analysis - Lot layouts and e-mail recipients per customer through a dedicated Report Selection page, exactly as you would for any other Business Central document.

Product Specification Print Configurations

  • Reusable print configurations — save a named configuration that captures which chapters and details (comments, ingredients, allergens, nutritional values, standards, dietary/GMO information, packaging, logistics, tracking, and more) should appear on a printed product specification.
  • One-click apply — pick a configuration from the product specification report's request page to apply all of its print settings at once, instead of ticking each option by hand every time.

Sales and Warehouse Integration

  • Quality check reports — extended with the originating order number for improved traceability back to the source sale.
  • Fast non-conformance creation — copy posted sales document lines directly into a non-conformance, with lot expiration dates carried across automatically, for faster NC creation from sales returns or complaints.

Inspection Status Reason Codes

  • Kept in sync with standard Reason Codes — creating, editing, or renaming an Inspection Status Reason Code automatically creates or updates the matching Business Central Reason Code, so the two lists never drift apart. Existing Inspection Status Reason Codes are synced once on install or upgrade.

Getting Started

  1. Open the Extended Quality role center to get an overview of quality activity and access all setup areas from one place.
  2. Configure the Item Attribute COA Setup page to define which item attributes (and which customers, posting groups, or price groups) require an automated Certificate of Analysis.
  3. Set up a Job Queue Entry to run the Auto-Send COA codeunit on your preferred schedule, and configure per-customer document layouts on the Report Selection - Quality Enhancements page.
  4. Review the non-conformance category, subcategory, and setup pages to ensure category applicability, default severities, and default titles/final remarks are configured as needed.
  5. Create one or more Product Specification Configurations to standardise how product specifications are printed across your team.
  6. From here, the app automatically manages COA e-mails and enriches non-conformance and product specification data as part of your normal business workflows — with on-demand printing and e-mailing available wherever you need it.
